Location: Hybrid work environment. Office requirement is approximately 40%. This position has responsibilities that can only be completed in the office, which is based in Minneapolis. As such, the incumbent should be within commutable distance. As a community foundation with a statewide focus, community context is an integral aspect of creating effective strategies to achieve the Foundation's mission. As such, the incumbent to this position must reside within the state of Minnesota. Summary The Director of Finance provides strategic and operational leadership for the Foundation's financial management function, ensuring strong fiscal stewardship, effective systems, and sustainable financial practices that support the Foundation's mission and long-term impact. This role oversees the Foundation's day-to-day financial operations, including financial reporting, budgeting, forecasting, accounting practices, cash and investment management, compliance, and financial analysis. Working with and reporting to the Executive Vice President, Finance and Operations, the Director of Finance leads the implementation and continuous improvement of financial systems, policies, and internal controls to ensure compliance with applicable laws, accounting standards, and best practices for nonprofit and philanthropic organizations. The Director of Finance translates financial information into meaningful insights that support organizational decision-making, identifies opportunities to improve processes and performance, and helps ensure financial resources are effectively aligned with strategic priorities. This role also provides leadership across financial operations, supports cross-functional organizational initiatives, supervises finance staff, and serves as a trusted partner to leadership, committees, and staff throughout the Foundation. ESSENTIAL FUNCTIONS: ROLE SPECIFIC Finance Management: Provide strategic leadership and oversight of the Foundation's financial operations, systems, and fiscal stewardship to ensure financial sustainability, effective resource management, regulatory compliance, and alignment with organizational priorities and mission impact. (20%) Works closely with the Executive Vice President of Finance and Operations to implement policies and procedures ensuring smooth operations for financial success in compliance with laws and accounting standards. Continuously monitor the foundation's financial status and progress in its various programs and activities. Communicate progress to budget and variances each reporting period and work with Executive Vice President of Finance and Operations to identify solutions and adjustments as needed. Communicate financial performance, budget-to-actual variances, and emerging trends during each reporting cycle, partnering with leadership to identify adjustments and solutions as needed. Generate monthly income, balance sheet, and cash flow statements consistent with generally accepted accounting principles and provide other financial reporting as needed. Prepare other financial analysis and reporting for staff upon request. Advise on organizational risk management strategies, including oversight and recommendations related to insurance coverage for protection against property losses and potential liabilities. Serve as primary contact with investment consultant for endowment management, ensuring timely transfers of assets. Manage invested assets aligned with investment policies, spending policy, and UPMIFA regulations. Supervise senior accountant and accounting clerk positions Budget and Financial Planning: Manage and lead the annual budgeting process and financial planning to inform strategic organizational decision-making. (20%) Manage the annual budgeting process, including analysis of previous-year data as well as creating and managing project budgets, fiscal year-end forecasts and forecasting multi-year budgets. Ensure budget is loaded into Financial Edge with cash flow projections. Provide clear and accurate summary financial information for the Foundation's annual report, web site, grant reports and requests, and other sites such as Candid, tailoring reports as needed based on purpose and needs. Manage restricted revenue and related releases, aligning with grant requirements and accounting rules. Apply depreciation rates to apply to capital assets, aligning with financial policies and Generally Accepted Accounting Principles. Perform periodic processing and oversight tasks, including recommending new GL accounts and entering AP vendors; reviewing gift, cash and pledge reconciliations; monitoring payables and receivables; reviewing and adjusting expense allocations; and, reconciling investment accounts. Financial Operations, Systems, and Internal Controls: Lead financial operations, systems, and internal controls to ensure operational and financial efficiency across the Foundation. (20%) Develop and maintain financial systems, policies and procedures. Oversee bookkeeping operations, including financial records retention in alignment with records retention policy. Recommend, implement and maintain technology to support financial systems and procedures, including: banking portal, electronic invoicing systems, credit card processing portals, vendor portals. Audit, Governance, and Organizational Partnership: In partnership with the Executive Vice President of Finance & Operations, manage the audit, regulatory, and governance-related activities to ensure compliance, strengthen financial accountability, support informed decision-making, and advance organizational stewardship. (20%) Lead the annual accounting audit, coordinating preparation and completion of supporting documents as needed. Coordinate with audit partner the preparation of other required year-end reports. Including IRS form 990, Minnesota Attorney General Charities report and other states' annual filing as required. Provide support to the Financial Leadership Committee, sub-committees of the Financial Leadership Committee, and Audit Committee working closely with the Executive Vice President of Finance and Operations. Support the development and alignment of financial dashboards and key performance indicators. Operational and Administrative Support: Provide support and coordination of key operational, administrative, and employee support functions to ensure the Foundation's mission and day-to-day effectiveness. (10%) Administer payroll in a timely manner in accordance with policy and state guidelines and pay documentation. Verify payroll for processing, including reviewing time off balances and online timecards for completeness. Oversee filing of IRS 5500 form(s) and other required reporting on employee benefits. Administer employee 401k plan in alignment with policies and procedures. Manage vendors and serve as a contact related to: general supplies, technology, office space and furniture. Train relevant staff on financial operations, including financial record retention ensuring segregation of duties. Serve as the administrator of the SharePoint shared file site. Propose upgrades to software tools for workflow improvements. Project manage construction and technology installations. ESSENTIAL FUNCTIONS: ORGANIZATIONAL (10%) Participate as an active member of the Foundation staff by working collaboratively with other staff members and communicating openly and honestly. Perform all other projects and tasks assigned by the Executive Vice President of Finance and Operations. Actively participate in learning environment including topics of diversity, equity, inclusion and antiracism. Attend Women's Foundation of Minnesota events, as required and/or as requested by the Executive Vice President of Finance and Operations. Job Specifications Education and Experience Bachelor's degree in Accounting preferred MBA or CPA desired Minimum of seven years of financial management required. Knowledge of and experience in non-profit or foundation environment, including restricted revenue and endowment management. Experience working with Financial Edge accounting software a plus. Understanding of donor advised funds preferred but not required. Knowledge, Skills and Abilities Proficiency with cloud-based financial management systems, BlackBaud Financial Edge preferred. Proficiency with Microsoft 365 with expertise in Excel required. Strong aptitude for learning software tools. Demonstrates initiative and a solution-focused attitude while positively contributing to our team work environment. Excellent interpersonal communication skills and relationship building skills to effectively work with a variety of people and personalities, including developing relationships with Board members, volunteers, staff, donors, and potential donors. Able to communicate clearly both orally and in writing. Ability to manage multiple tasks and projects simultaneously required. Ability to work closely with others. Understands confidential nature of organization information and maintains confidences. Applies effective time management skills in order to meet all deadlines. Displays flexibility to meet organization's unique needs. Strong general office and organizational skills, including filing. Detail-oriented and able to meet deadlines.
