Clinical Site Compliance Coordinator, Physical Therapy Department
Clinical Site Compliance Coordinator will work collaboratively with the Director of Clinical Education and will support and coordinate various aspects of clinical education, including clinical contracts, clinical education database, clinical placement requirements, clinical site onboarding systems, student clinical site placement requests, and any other duties assigned for the Doctor of Physical Therapy Program.

Position Hourly Rate Range: $27.00 -$29.00
Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.
Duties and Responsibilities:
- Clinical database management- enter new and update existing clinical site information, add clinical placement information, review student information, approve outstanding compliance records and evaluate post clinical experience assessments.

Clinical site contract review and management- generate new and renewal clinical contracts, develop and maintain data management system to effectively track contract renewal dates and terms, act as initial liaison to MSMU legal counsel, MSMU Insurance carriers, and MSMU Human Resources.

Manages collection, review, posting and dissemination of information required for clinical placements: clinical student health information, clinical site requests for information, clinical site assignments, pre-clinical onboarding for clinical site requirements etc.

Enters clinical placements and monitor compliance in clinical site-specific onboarding software systems.

Develops and maintains data management system to effectively track and update clinical onboarding status, clinic instructor information, and student information for each clinical education experience.

Coordination of annual placement process- preparation of clinical database including set up of clinical education experiences, clean-up of clinical sites and clinical personnel, generation of email for annual placement request, and preparation of follow up emails with site specific responses. Monitor responses of annual placement request and determine appropriate follow up to clinical sites.

Primary contact for confirmation of available clinical sites, clinical site placements and determining site interest in clinical education.

Disseminate, review and track student initial, annual, and site-specific requirements - health, CPR, background checks, drug screening, student biographies etc. Correspond with students for clarification of requirements. Correspond with clinical database reviewers to approve requirements.

Assists students with completing site-specific requirements for clinical education experiences by providing information and coordinating appointments with on campus health professionals, as needed.

Clinical site evaluation management- track and review completed clinical site evaluation forms following each clinical experience (PTSE I, PTSE II, CI Details, CSIF).

Manages and updates clinical assessment of student - set up clinical experiences, pair student and CI, assist CI with training information, troubleshoot inability to access assessment, and archive past experiences.

Manages and updates MSMU portal content and functionality for electronic repositories shared drive for contract management and insurance certificates with Human Resources.

Liaison for liability insurance issues - ensuring certificates of insurance are current and distributed to clinical sites.

Coordinating distribution, collection and collation of clinical site assessment per Commission on Accreditation for Physical Therapy Education requirements.

Effective yet personable interaction and communication with students, faculty, sites, and other PT program personnel related to clinical education. Provide individual student support, as needed.

Assists in development of processes, revision of information, identify needs of clinical education office to ensure efficient workflow.

Problem solving skills for managing onboarding issues and issues when students are in the clinic, and appropriately advising students on the next steps should the Director of Clinical Education not be available (e.g. student injuries and student emergencies).

In person student interaction is required. Hours must include time when students are on campus.
Other Duties and Responsibilities:
- Creating electronic information packets to send for student clinical placements and for 'new sites' expressing interest in participating in clinical education.
- Instructing students on navigation of clinical education database.
- Informing students of requirements and processes for special requests and new clinical sites.
- Assisting with disseminating orientation information for each new cohort.
- Assist in the daily operations of the Department of Physical Therapy.
- Filing student paperwork and copying for classes as needed.
- Electronic dissemination of information requested by sites.
- Following up with sites to ensure receipt of clinical placement packets.
- Generate packets of information for clinical sites, clinical instructors and other relevant parties.
- Attend meetings of the Intercollegiate Academic Clinical Coordinators Council (consortium of faculty and staff of accredited physical therapy programs in southern California).
- Attend clinical education meetings with cohorts.
- Perform other job-related duties as assigned.
Job Requirements:
Knowledge:
- A high level of proficiency on Microsoft Suite- Excel, Microsoft Word, Outlook, Teams; Google applications- sheets and docs; use of Zoom; email communication and internet inquiry is required. EXXAT database management, the PT-CPI and CSIF websites can be trained, applicant must have prior experience with database basics and acquisition of multiple database systems.
Abilities and Skills:
- Effective and professional written and verbal communication (writing cover letters, proofreading, email, telephone, in-person meetings).
- Detail-oriented and able to effectively organize and analyze information.
- Efficient project management skills with ability to multitask and prioritize completing assignments in a timely manner.
- Essential to communicate internally with students, faculty and administration and externally with clinic/hospital management, insurance carriers, legal counsel, professional organizations and faculty and staff of other physical therapy programs.
- Self-organization skills for daily management of assignments and tasks to complete.
- Ability to learn new tasks and software/database workings quickly with good carryover.
- Self-initiative and creative problem-solving skills to adapt to new situations.
Education:
- Bachelor's required.
- Preference for paralegal certificate
Experience:
- Experience developing and organizing databases, managing and organizing large volumes of information.
- Interacting with the public and multiple levels of management. Internal and external communications.
